This Cancellation Policy applies exclusively to www.mindedfilms.com and outlines general cancellation principles for professional services and scheduled work delivered by MINDED FILMS. Specific terms may be agreed in writing on a project-by-project basis.

1. Scope

This Policy describes general terms for cancellations related to professional services delivered by MINDED FILMS, such as development and production services, creative consulting, project packaging support, and other scheduled professional work. It does not replace or override any signed agreement, statement of work (SOW), or written terms agreed with a client or partner.

2. Notice & communication

Cancellation requests must be submitted in writing (email is sufficient) to barcelona@mindedfilms.com. Notice should be provided as early as possible to reduce committed costs and scheduling impact.

3. Work performed & deliverables

Any work performed up to the effective time of cancellation remains payable. Where deliverables are in progress, MINDED FILMS may deliver work completed up to that point (where appropriate) and invoice accordingly.

Examples of payable work may include research, development meetings, scripts/notes, decks, budgeting, scheduling, coordination, and other professional services already performed.

4. Holds, bookings & scheduling

If MINDED FILMS reserved time, blocked dates, or allocated resources for a scheduled engagement, cancellation may trigger charges reflecting the opportunity cost and commitments made, depending on notice and project specifics. Where applicable, this may be defined in the signed agreement or confirmed in writing.

5. Third-party costs

Third-party costs (e.g., travel bookings, location holds, rentals, external services, subcontractors) that were incurred or committed prior to cancellation are payable by the client/partner where applicable. MINDED FILMS will provide supporting documentation upon request.

6. Payments & refunds

Unless otherwise agreed in writing, payments cover work performed and costs incurred. Refunds, if any, are assessed case-by-case and depend on the status of work, commitments, and third-party costs.

If a deposit or milestone payment was agreed, its treatment in the event of cancellation is governed by the applicable written agreement.

7. Force majeure

MINDED FILMS is not responsible for delays or inability to perform caused by events beyond reasonable control (e.g., natural disasters, government actions, severe disruptions). In such cases, the parties will act in good faith to reschedule or agree a fair resolution.
